Administrative Assistant Plant Manager

Your tasks
- Provide comprehensive administrative and operational support to the Plant Manager, including calendar management, business travel arrangements, meeting coordination, preparation of presentations, and follow-up of action items.
- Coordinate and continuously improve plant administration processes and office operations, ensuring compliance with company policies, procedures, and administrative standards.
- Prepare, organize, and document management meetings, including agenda preparation, meeting minutes, communication of decisions, and tracking of action plans.
- Manage and control plant administrative budgets and expenditures, including utilities, office supplies, meals, telecommunication services, office equipment, and other administration-related costs.
- Manage external service providers, office suppliers, and administrative contracts, ensuring service quality, cost efficiency, compliance, and timely resolution of operational issues.
- Oversee plant administrative resources and office services, including stationery, refreshments, mail services, company vehicles, uniforms, safety shoes, first-aid supplies, office equipment, and facility support services.
- Coordinate customer, corporate, auditor, and visitor activities, ensuring professional reception, effective visit preparation, and compliance with security and visitor management procedures.
- Plan and coordinate employee engagement initiatives, plant events, and internal communication activities, supporting leadership communication and organizational effectiveness.
- Organize and monitor administrative and mandatory training activities, including safety training coordination, training records management, compliance tracking, and reporting.
- Prepare administrative reports, KPI dashboards, cost analyses, and management presentations, identifying opportunities for process improvement, cost optimization, and operational efficiency enhancement.

- Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook)
- Administrative budget planning and cost control
- Vendor and contract management
- Travel, event, and visitor management
- Meeting coordination and executive support
- Report preparation, KPI tracking, and data analysis
- Document management and business communication
- Knowledge of manufacturing plant administration processes
- SAP / ERP experience preferred
- Strong organizational, communication, and stakeholder management skills
